New Alert System for Data Role Changes

  • When a user’s account moves into a new Herrmann client, or the user takes a new assessment under a new client, then proper alerts and communications must take place so that all necessary parties are aware and informed of the change implications.
    • Implications include: how the user may authenticate into the Herrmann platform, what features the user has access to in the platform, etc.
  • A need has come up for the Herrmann system to alert the Customer Advocacy Team when a user is moved into a new Herrmann organization or takes a new assessment under a different organization, so that we can make sure the client, certified practitioner and user are all aware of the change and what the change means for the user.

  • When Thinkers experience the Accelerator Tools, then they need access to the most updated content and support materials, in their preferred language, so that they can effectively apply the information and activities within their team.

    • Users were being given an error when inputing their email during the account creation process, due to the upper/lower case discrepancy.

  • When a user is creating their Herrmann account, they expect to be able to create it and access their assessment invitation seamlessly and securely.

  • The copy on the registration page has been updated to provide users with clear instructions on how to proceed with signing into their existing account while claiming a new TED assessment.

Org Analytics

Correction: Org Analytics Usage Analytics Report Updates

  • When an Org Admin user is pulling a Usage Analytics report on an organization, they expect the usage data to be accurate for the time frame selected.
  • A bug was discovered where instances of an HBDI® Assessment being taken in that time frame were not being counted towards the platform usage data.
    • This created skewed data for a selected timeframe that did not give the full picture of the organization’s platform usage.
  • A new dataset was created that recorded all events and applied to the Usage Analytics Dashboard.

Data Role Hierarchy Check Implemented into Axon

  • If Axon users are editing data roles in Axon, then we need safeguards in place to stop any changes to the high-level data roles that are not meant to be edited.
  • When data roles are being edited in Axon, 2 client-type data roles cannot exist within the same client data tree, and therefore a “stop” mechanism is necessary.
    • The mechanism reduces the risk of an accidental change in a high-level data role that would cause an unintended data exposure.
  • Now, when editing/adding a data role and choosing from the “type” drop down, the “client” option will be disabled if a client-type data role already exists for the client’s parent data role.
  • Additionally, context will be given to the user about why the functionality is disabled and the conflicts within the organization’s data tree that are causing the client-type data role to be disabled.

Thinker Portal & Journey

Updated Registration Page

  • When a user accepts their invitation to take an assessment, then they should be given a seamless experience for claiming their invitation, depending on if they are a new or returning user.
  • Users were experiencing issues with creating their account or logging into the platform when accepting an assessment invitation, due to a lack of clarity on the Herrmann invitation registration page.
    • The registration page is the first page a user is sent to when they click on their assessment invitation link.
    • On this page, there was a lack of clarity on how to proceed with claiming your invitation depending on if you were a new or returning user.
    • This led users to try and claim their seat through an invalid pathway for the type of user they were, and they would be blocked from accessing their new assessment.
  • The registration page has been updated with a refreshed user experience and more clear instructions for guiding a user with claiming their invitation.
    • The options to proceed as either a new or returning user have been made more distinct, and both pathways for proceeding have been given equal importance on the page.

Updated “Contact Support” Links

  • When a user needs to contact support, then they expect a direct link to the web page where they can create and submit a support ticket.
  • There were multiple instances discovered throughout the Thinker Portal, Axon and Org Admin where it would mention “contact support” but there was no direct link for a user to do so.
  • These instances were collected and updated to include the correct links for creating and submitting support tickets.

  • A bug was discovered in the reminder email system where users who had not yet claimed their seat were not being shown their personal invitation link in the series of reminder emails.
    • The only link available in the emails was to the Thinker Portal login page. The users were blocked from being able to accept their invitation.
  • The invitation reminder emails have been modified to meet the following conditions:
    • When a user has claimed their invitation seat, the reminder email to “continue journey” only includes a link to sign into the Thinker Portal, where they will be guided to continue where they left off in their thinking journey.
    • When a user has not claimed their invitation seat, the reminder emails to “accept their invitation” and “continue journey” will both include the personalized invitation link.
  •  These changes will reduce confusion for users about which path they need to take to continue onboarding as a Whole Brain® Thinker.

Report Labels Fixed

  • When users view reports within Org Analytics, they expect the reports to have correct chart and title names, so that the user can correctly analyze the data.
  • A bug was discovered in Org Analytics where the labels on usage reports were showing up as an error, when they should have appeared as calendar months.
    • This created confusion for users, who were blocked from understanding what usage numbers correlated to which month.
  • A correction was made to the data set references used in these reports so that the month labels could appear as expected.

Stop & Think

Latest S&T version live in the Microsoft Teams store

  • When clients want to adopt Stop & Think into their organization, they need a version of the app that gives them proper controls over security and permissions.
  • In order to increase the adoption rate of Stop & Think, Herrmann needed a version of the app that does not cause the client a lot of work to onboard into their Microsoft ecosystem.
  • Stop & Think is now available in the Microsoft Teams store with our updated permissions levels, that puts the user more in control of what Stop & Think can do on their behalf.
    • These permission levels also simplify the permission structure, which lessens the burden on the organization's IT departments to manage them.

Translations

  • Org Admin tools are now available in German.
  • A German translation issue with the Individual Data Summary Page was resolved.

Timeout Errors in the platform

When our partners, clients and users come to the Herrmann platform, then they are expected and owed a seamless and secure experience that allows them to engage with Whole Brain® Thinking.

  • Over the last couple of months, Herrmann has been aware of necessary improvements and upgrades to our database in order to serve our customers.
    • While improvements to the database have been ongoing, the challenges affected a large number of our users the week of 11/27. Users were experiencing the challenges the week prior, but the largest impact took place on Monday and Tuesday of the 11/27 week.
    • Herrmann users (new and returning) all over the globe were experiencing severe lag times, eventually turning into timeout errors, when performing actions in the platform.
  • To solve this, our engineers worked around the clock to make changes to how our database is performing when users take an action, so that they no longer experience these errors.
  • Moving forward, the Herrmann product and engineering teams will continue to make progress on additional database changes and upgrades, along with User Interface improvements, that will give users a seamless and secure experience on the platform. We are being vigilant and continuing to invest in more improvements and processes for staying on top of emerging system issues.

Stop & Think Login App

  • When Thinkers use S&T, they expect to use the latest version. Additionally, our clients who want to adopt S&T need to use a certain version of the app, which requires approval by the Microsoft Teams store.
  • To be approved by the store, Herrmann had to update the login screen to a design that does not allow for users to switch between the login flow and the account creation flow.
  • The login page has now been changed to disable the ability to sign up. Our next step is to resubmit the S&T app for approval.
  • Clients who have inquired about when the latest version will be ready, so that they can move forward with installation, will be notified once S&T is officially approved.

Thinker Portal & Journey

Displaying a page “Loader” to Thinkers in the Thinker Portal

  • There are certain pages within the Thinker Portal where information is generated by the system in the background, such as creating an open assessment for the thinker.
  • When a thinker is on a Herrmann page that is generating information or an available assessment, then the user needs to not take any other actions on that page until the generation work is complete.
  • We were receiving a number of support tickets from users who were not being given an assessment after completing the first module of Journey, or were able to continue their Journey without taking an assessment, because the open assessment information was not yet generated in the system.
  • In order to slow down the user from performing other actions on the page, and let the Herrmann system catch up, a “loader” will be shown to the user on the page.
    • It will be displayed on any page where user information or an assessment is being generated in the background, until the generation is complete.
  • This will reduce instances of the Herrmann system not being ready with the assessment or information needed for the user to proceed.

Enforcing HBDI® completion before continuing Journey

  • If a user does not take their HBDI® assessment at the beginning of their learning journey, then they will not be able to activate as a Whole Brain® Thinker.
  • If a user does not take their HBDI® assessment at the beginning of their learning journey, then our customers will experience complications with implementing Whole Brain® Thinking at their organization.
  • A bug was discovered where if a user “deviated” from the expected user progression of the first learning module in Journey, then they were able to continue their learning journey without completing the HBDI® assessment.
  • The HBDI® assessment is available to a user in the fifth page of the first learning module. A user could “deviate”, and unlock page six and beyond, through the following ways:
    • Opening the HBDI® assessment in a new tab
    • Clicking on the assessment button on page five, and immediately returning to the Journey page
    • Logging out of the platform when on page five, and then logging back in
    • Refreshing the browser when on page five
  • To solve this, we are displaying an error message on page six, when there’s no assessment created so that the user knows they cannot proceed.

Batch Action Bug Fix & Updated Functionality

When Axon admin users are performing batch updates, then they need all functional options for the batch action available to them on their screen.

  • When Axon admin users are performing a batch update, then they need safeguards that protect from an unintentional change to large sets of data (mass action).
  • Axon admins were experiencing 2 issues when performing batch updates:
    • When the batch update button was selected, the pop-up window with the batch action functionalities listed was not appearing, due to the styling of the window.
    • There are no stoppers from performing large, “select-all” batch action updates, which increases the risk of performing an unintentional update or change within Axon pages.
  • The pop-up window has now been restyled to fit any browser
  • The “select-all” feature for batch actions has been disabled. Admin users must manually select multiple lines for the batch action feature to be enabled.
    • The checkbox at the top of the list of assessments, invitations, etc. has been disabled
    • If an admin user tries to select the checkbox, a pop up will appear at the top of their browser, notifying them that mass selection has been disabled.

Assigning a User’s Preferred Language in Integrated Org Analytics Data

When a user selects a core language for using the platform, when they experience a page that uses integrated data, then they expect that data to be in their chosen core language.

  • If we ensure that the data that appears in org analytics will be communicated in a user’s preferred language, then we will drive increased use and adoption of the org analytics tool.
  • We ensured that a user’s preferred language (their Locale) was passed appropriately to the integrated data that appears in the org analytics dashboards.
    • The one exception is Chinese, which will be available in a future release.

October 2023

Certified Practitioners and users of Axon can now download the profile map
(also known as the “kite”) on behalf of their thinkers in the following areas:

    • Axon view of HBDI® digital
    • Viewing a thinker under the “thinkers” tab in Axon
    • The kite will download as a 240 x 240 PNG image
    • This is a useful feature for all Axon users who want to download the profile map of a particular thinker, to be incorporated in the existing tools, information sources and materials used by our clients in their daily ways of working

Select a Country in the HBDI Assessment Questions

When taking the HBDI® Assessment, all thinkers must select a country to be associated with from a list of drop-down options.  In the past, we had a number of countries listed in the dropdown as well as a “prefer not to answer” option.  We have now added the option for users to select “not listed”, so that users who do not see their country in the list have an additional option.

Update to Login Process

In August 2023, we deployed functionality in Org Admin to trigger a password reset for a user via Auth0’s password reset flow.  This functionality now exists in Axon, when an Admin is editing a user.

Admins will click the “Send Reset Password Instructions” button in the top-right corner of the screen.

Through incorporating Auth0’s password reset flow into our Axon functionality, it eliminates any disconnect between Axon and Auth0 user information.

Update to Login for Stop & Think

While Stop & Think has always had a single-sign on (SSO) as an option for user authentication, we have updated our SSO flow in Stop & Think to be integrated with our platform authentication partner, Auth0.

This updated SSO flow will allow for:

  • the ability to fully support more variations of login and authentication to support our customers
  • the necessary integration of our authentication process across our products
  • the necessary synching of the login information of our users as they access our different products

Text within the Email Field (bug)

The word “email” was appearing in the email field in combination with the user’s email address in the first login screen. Thank you, Shane, for bringing this to our attention!

  • The population of the word “email” in the field was causing a failed login attempt for the user, since it made the email address of the user incompatible with the email the invitation was sent to.
  • The extra wording was removed from the email field and it no longer appears when users are trying to register with a unique URL.

Thinker Portal Includes Team Accelerator Tools
  • Team Accelerator Tools are now available in the Thinker Portal
    • The Team Accelerator Tools are now available to all clients as an interactive part of the Teams page in the Thinker Portal. The feature can be enabled through a feature toggle in Axon. This makes the tools and activities within them easier for Thinkers to interact with and get value from when working with their team, both in planning and in-the-moment collaboration.
    • The new build of the Team Accelerator tools includes:
      • Porting over the interactive Team Accelerator Tools from Stop & Think into the Thinker Portal (eliminating the need for the i_Frame version of the tools)
      • Adding the tools as a tab within a Team in the Thinker Portal
      • Adding sub-navigation menu inside Accelerator Tools to switch between tabs
      • Making content changes to fit Thinker Portal context and enrich the tools experience for the Thinker

Stop & Think

  • Enhancing the Stop & Think Sign in Button
    • When users can easily locate the sign in button on Stop & Think, then this increases their user experience and login flow, leading to faster adoption of Stop & Think features.
    • We developed and implemented enhancements to the sign-in button in the Stop & Think application to improve its visibility and user experience so that it can be easily located.
    • This includes a more prominent location for the sign-in button as well as language to notify the user that they are not signed in.

Account Creation and Sign-in Experience

Ensuring Password Changes are Recognized by Auth0

  • If a user changes their password in Axon, or an admin resets their password for them in Axon, then the password is automatically updated in Auth0 and the user can sign in successfully at the next login.
  • With Herrmann’s new platform login flow through our authentication provider, Auth0, it is essential that it is always communicating with Axon for the most updated user information in order to ensure a successful login experience.
  • Axon support and admin can now avoid having to perform any actions within Auth0, including deleting user records in order to initiate a password reset.
Unblocking & Resetting Password for Users
  • Herrmann employees and global partners who provide customer support can now help users reset their password in Axon through a flow that ties to the user record that exists in Auth0, eliminating any disconnect between Axon and Auth0 information.
  • Herrmann employees and global partners will also have the ability to see if a user has been blocked due to too many login attempts, and can then unblock the user.

Updated Invitation Email in Axon

  • The invitation instructions that are sent to new thinkers when CPs email thinkers through Axon have been updated for clarity and effectiveness so that thinkers can complete their learning journey more smoothly.
  • Additionally, the instructions shown for the thinkers in an invitation are customized to the features that are available or not available to those thinkers, depending on the data role for their organization.
  • This includes features such as the “code unlock” or “sharing & personalization”.

Ordering of Report Pages

  • The “2 Page Soft Copy” Report and “A4 2 Page Report” were not identical in their page order, and have since been updated to match.
  • For both reports, you can expect the order to be the thinker’s profile overlay followed by the data summary page.

Zendesk Support Ticket Updates

  • The Zendesk Chatbot that appears in the Herrmann platform has been updated to remove internal bugs as well as including the ability for a user to choose their role when interacting with the Chatbot (CP/CP Assistant or an Individual).
  • This will help to get better help and information to those inquiring with the Chatbot.
  • The Chatbot can be accessed through clicking the orange question mark in the bottom right-hand corner of Axon and the Thinker Portal.

Sharing & Personalization Blocker Removed

  • An issue was discovered where thinkers who did not have access to the Sharing & Personalization feature were running into issues completing their learning journey.
  • These issues have been removed and all Thinkers can seamlessly complete their learning journey no matter if they have access to the Sharing & Personalization feature.
